The Executive Assistants’ role is to support, organise and effect the smooth operation of the CEO and the business, developing an extensive knowledge of the Company to help meet the Company’s aims and objectives, whilst using their utmost discretion and confidentiality at all times. Responsibilities Organising and maintaining diaries - making appointments for the CEO & Senior Management team. Proactive shadowing of the CEO to deal, and responding where necessary, to incoming emails and post. Screening phone calls, enquiries or requests, and handling them where appropriate. Devising and maintaining office systems, including data management and filing. Meeting and greeting visitors at all levels of seniority. Arranging travel and accommodation, where necessary and occasionally, travelling along to take minutes and provide general assistance during presentations/meetings. Producing documents, briefing papers, reports and presentations. Organising and ensuring that the CEO is prepared for all meetings. First point of contact with clients, suppliers and members of staff on behalf of the CEO. Carrying out specific & adhoc projects and research, as and when required. Sourcing and ordering office supplies on a regular basis. Proactive response and co-ordination of the CEO’s personal and business affairs. Skills required Exceptional written, interpersonal and oral communication skills Excellent word processing and IT skills, including a range of software packages Ability to work under pressure and to tight deadlines Good organisational and time management skills Ability to research, digest, analyse and present material clearly and concisely Ability to work on their own initiative Honest, reliable and punctual Attention to detail Flexibility and adaptability to juggle a range of different tasks and work extra hours to meet deadlines Discretion and an understanding of confidentiality What to expect from the role: Frequent contact with people, either face to face, telephone or email Dealing with difficult and demanding people whilst focusing on the CEO Work experience Minimum 5 relevant work experience Previous PA experience to HNWI required Working hours 9:00am - 6:00pm, Monday to Friday, (with 1 hour’s lunch break) it may be necessary to work overtime during peak hours and when deadlines are close. 25 days holiday Healthcare Mobile phone
